Terms & Conditions

GENERAL INFO
  • The rental period is from 11:00 AM to 12:00 AM (midnight) on the day of your rental, unless other arrangements have been made in advance.
TABLES AND CHAIRS
  • Renters are responsible for setting up tables and chairs.
  • Requests for additional tables or chairs must be submitted to NWWF staff at least one week before the event. Additional tables and chairs incur an additional fee and are only offered if available.
CLEAN UP AND DAMAGE DEPOSIT
  • Renters are responsible for returning the facility to its original condition at the end of the rental period.
  • The damage deposit is refundable provided the facility is left in its original condition. Refunds will be issued within 21 business days after the event.
  • Additional cleaning fees of $75 per hour may be deducted from the damage deposit for cleaning beyond standard requirements, including removing litter from the parking lot, gum removal, vandalism, or other excessive cleaning needs.
  • Costs for professional services, including carpet cleaning and pressure washing, will be charged at the service provider’s rate.

ALCOHOL

If alcohol will be served at your event, you must obtain a banquet permit through the Washington State Liquor Control Board: Washington State Liquor and Cannabis Board. All applicable Washington State liquor laws must be followed. Depending on the nature and size of the event, additional security may be required.

Insurance is also required anytime alcohol is allowed at an event at the fairgrounds.

The renter assumes all risks and liabilities associated with serving alcohol and must provide the required insurance coverage. For additional information regarding alcohol service requirements, please contact Renee at renee@nwwafair.com.

Candles

Candles are allowed as long as they are placed inside a fully enclosed container. Any candle wax spills must be cleaned up before the end of the rental period. Additional cleaning fees may apply if wax residue is left behind.

Cooking Outside

If you plan to cook or barbecue outdoors, you are responsible for protecting all concrete surfaces, buildings, and flower beds from damage. Oil, grease, or other cooking residue spilled or splattered on concrete or buildings may result in additional fees for pressure washing.

If you are hiring a caterer, please communicate these requirements with them in advance.

DECORATIONS

We understand how important it is to plan your special day. When decorating, do not use nails, hooks (including Command Hooks), or tape. Please use free-standing decorations only. Glitter and confetti are not allowed in any building rental.

Kitchen

The NWWF provides a basic kitchen area with each rental. Renters are responsible for leaving the kitchen clean at the end of their event, including wiping down counters and sweeping the floor. Renters are also responsible for any misuse of the kitchen by caterers or other vendors associated with their event.

Parking Lot & Flower Beds

The renter is responsible for removing all trash and debris, including cigarette butts, from the parking lot and flower beds surrounding the rented building.

Tables and Chairs

All tables and chairs must be wiped clean at the end of the event. Renters are also responsible for removing any gum, candy, or other debris from underneath tables.

TRASH

Blue trash cans are provided for renter use. All trash must be removed from indoor garbage cans and placed in the designated blue cans. Trash must never be left on the ground. Any excess garbage that cannot fit in the provided blue cans must be removed from the property by the renter or an additional charge will be added at $10 per can.

SMOKE MACHINES & SMOKE ALARMS

The use of smoke machines is prohibited at all NWWF rental facilities. Smoke machines will trigger the fire alarm system, resulting in a fire department response. A $75 fee will be charged to the renter for NWWF staff to reset the alarms. The renter is also responsible for any additional fees charged by the fire department or alarm company.

SMOKING

Smoking and vaping are prohibited inside all NWWF buildings and within 25 feet of any entrance or exit. Any fire-related damage or damage to bark and flower beds will be deducted from the rental deposit.
